Weycross Ventures Limited, trading as Weycross Chauffeurs (“Weycross Chauffeurs”, “we”, “us” or “our”), is committed to protecting the privacy of anyone who visits our website or contacts us about our chauffeur services. This policy explains what personal data we collect, why we collect it, how it is stored, who it is shared with, and the rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who We Are
Weycross Ventures Limited, trading as Weycross Chauffeurs, is the data controller responsible for the personal data described in this policy. We are a company registered in England and Wales under company number 16972178, with our registered office at Unit D2a, Chobham, Woking, England, GU24 8HU. We are a licensed private hire operator, holding a private hire operator licence issued by Surrey Heath Borough Council, and we can be contacted at hello@weycross.com.
What Personal Data We Collect
We collect personal data that you provide directly to us, principally through our quote request form. This may include your full name, email address, phone number, and journey details such as pickup and drop-off locations, travel dates and times, passenger and luggage numbers, vehicle preference, and any notes you choose to add. If you contact us by email, we also hold the contents of that correspondence and the email address it was sent from.
Why We Collect It
We use this information to respond to your quote request, to arrange and deliver chauffeur services you book with us, to communicate with you about a journey, and to maintain records required for the proper operation and accounting of our business. We do not use your personal data for automated decision-making or profiling, and we do not use it for marketing unless you have separately and clearly agreed to that.
How We Store Your Data
Quote requests and related booking information are stored in a database hosted by Supabase, within data centres located in the European Union. Access to this data is restricted to members of the Weycross Chauffeurs team who need it to respond to your enquiry or deliver your journey. We take reasonable technical and organisational measures to protect this data against unauthorised access, loss or misuse.
Who We Share It With
We do not sell or rent your personal data to any third party. We share it only with the small number of service providers needed to operate our business — for example, an email delivery provider we use to notify our team when a new quote request is submitted, and, where you have consented to analytics cookies, Google Analytics, which we use to understand how our website is used. These providers process data only on our instructions or their own published terms and only for the purpose of providing that service. We may also disclose personal data where we are required to do so by law, for example to a regulator or law enforcement body.
How Long We Keep It
We keep personal data only for as long as necessary to respond to your enquiry, deliver the services you have booked, and meet our legal, tax and accounting obligations. Quote requests that do not proceed to a booking are retained for a limited period to allow us to follow up, after which they are deleted. Where we are required by law to keep records for a longer period (for example, financial records), we retain the relevant data for that period and no longer.
Your Rights
Under UK GDPR, you have the right to ask us for a copy of the personal data we hold about you, to have inaccurate data corrected, to have your data erased, to restrict or object to our processing of it, and to receive a copy of it in a portable format where applicable. To exercise any of these rights, please email us at hello@weycross.com. We will respond within one month, as required by law. If you are unhappy with how we have handled your data, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Cookies and Analytics
With your consent, we use Google Analytics to understand how visitors use our website so that we can improve it. These analytics cookies are only set if you accept them on our cookie banner, and you can withdraw your consent at any time. We may update this policy from time to time, for example if the way we collect or use personal data changes, or to reflect changes in the law.
