These terms and conditions govern quote requests and bookings made with Weycross Ventures Limited, trading as Weycross Chauffeurs (“Weycross Chauffeurs”, “we”, “us” or “our”). By submitting a quote request or making a booking with us, you agree to these terms.
Quotes and Bookings
Submitting a quote request through our website does not create a booking. A journey is only confirmed once we have reviewed your request and confirmed the fare, vehicle and timing to you in writing, by email. Until you receive that written confirmation from us, no booking exists and we are under no obligation to provide the service.
Cancellations
A confirmed booking can be cancelled free of charge if you give us at least 24 hours’ notice before the scheduled pickup time. For full-day and as-directed hire, and for journeys of more than 75 miles, that period is 48 hours. Inside those periods, a cancellation charge applies against the confirmed fare:
- From 24 hours to 3 hours before the scheduled pickup (from 48 hours to 24 hours on full-day, as-directed and long-distance journeys): 50% of the confirmed fare.
- Less than 3 hours before the scheduled pickup (less than 24 hours on full-day, as-directed and long-distance journeys), or where the passenger does not show at the agreed pickup point or time: 100% of the confirmed fare.
If we cancel a confirmed booking, you are refunded in full. Card refunds are returned to the card used to pay, normally within five working days. Where an account is settled by invoice, a refund is applied as a credit against that account’s next invoice.
We will always try to accommodate a change of plan where reasonably possible, so please let us know as soon as you can if your journey needs to change. Where a change can be accommodated we will re-time or re-route the existing booking rather than cancel it and charge again.
Waiting Time
A period of complimentary waiting time is included in every booking. For airport collections it runs from the recorded landing time rather than the time you booked, to allow for disembarkation, baggage reclaim and border control: 30 minutes on a domestic arrival and 60 minutes on an international one. For every other pickup, 15 minutes is included from the scheduled pickup time. Beyond the complimentary period, waiting time is charged in 15-minute blocks at the rate quoted for your vehicle.
We will always try to reach you if a delay looks likely to exceed the complimentary period. Where we cannot reach you and the passenger has not appeared within 60 minutes of that period ending, the journey is treated as a no-show and charged in full.
Pricing
Quotes are fixed once confirmed in writing and will not change because of traffic conditions or the route taken by your chauffeur. Where a journey involves tolls, congestion charges, parking fees, airport pickup or drop-off fees, or similar third-party charges, these will be identified and added to your quote where applicable, so that you know the full cost of your journey before you travel. Any change to your journey requested after confirmation, such as an additional stop or an extended waiting period, may result in a revised fare.
Payment
Unless you hold a business account with us, a confirmed booking is charged in full to the card provided at the point of confirmation, so the journey is paid for before you travel. Charges that can only be known afterwards — waiting time beyond the complimentary period, an additional stop, parking or airport drop-off fees — are charged to the same card after the journey and itemised for you.
Business accounts are not charged per journey. Completed journeys are gathered onto an invoice sent to the account’s finance contact, payable on the terms agreed when the account was opened. Every invoice, and what it covers, is in your account online.
Passenger Conduct
Passengers are expected to behave reasonably and respectfully towards our chauffeurs and vehicles. We reserve the right to end a journey without refund where a passenger's conduct puts the safety of the chauffeur, other passengers or other road users at risk, or causes damage to the vehicle. Any damage caused to a vehicle by a passenger, including from spillages, smoking or soiling, may be charged to the passenger at the cost of cleaning or repair.
Liability and Delays
We will always take reasonable care in providing our services. However, we are not liable for delay, loss or inconvenience arising from circumstances outside our reasonable control, including but not limited to road traffic conditions, weather, air traffic control restrictions, flight delays, or actions taken by third parties. Our liability to you for any claim arising from a booking is limited to the value of the fare paid for that journey, except where liability cannot be excluded or limited by law, such as liability for death or personal injury caused by our negligence.
Licensing
Weycross Ventures Limited, trading as Weycross Chauffeurs, operates as a licensed private hire operator. Our private hire operator licence is issued by Surrey Heath Borough Council, and our chauffeurs and vehicles are licensed and insured for private hire and reward accordingly. All journeys are pre-booked; we do not accept immediate hirings or ply for hire.
Governing Law
These terms are governed by the laws of England and Wales, and any dispute arising from them will be subject to the exclusive jurisdiction of the courts of England and Wales.
